If you're preparing a document for publication, submission, or professional review, it's important to choose the right level of language support. Two common services are proofreading and editing — and while they may seem similar, they serve distinct purposes.
Proofreading is the final polish. It focuses on surface-level corrections: grammar, spelling, punctuation, and formatting. If your content is already well-structured and clearly written, proofreading ensures it's error-free and consistent. It’s ideal when you’re confident in your work but want a second pair of eyes to catch minor mistakes.
Choose proofreading -if your writing has already undergone one or more rounds of editing, is nearly ready to publish, and you just need a final check.
Editing, on the other hand, is a deeper service. It improves clarity, tone, structure, and flow. An editor might suggest rewording awkward sentences, reorganising paragraphs, or enhancing overall coherence. If English is not your first language,or if you're unsure whether your message is clear and appropriate for your audience, editing is the better choice. It ensures your content is correct and aligned with your goals.

Theses - universities often provide strict formatting rules covering margins, font size, spacing, table of contents, and citation style (e.g., APA, MLA, Chicago, Harvard). Supervisors expect consistency across chapters, clear headings, accurate page numbering, and correct placement of tables, figures, and appendices. An editor will often focus on structural consistency and style compliance, in addition to language and clarity.
Journal manuscripts - must conform to the "Instructions for Authors" provided by the journal. These typically include requirements for word limits, abstract structure, reference formatting, figure legends, and even preferred file types. Editors expect the manuscript to be clean, organised, and submission-ready, with consistent formatting across all sections.
Style guides & Instructions for authors - when engaging an editor, it's helpful to provide upfront relevant style guides or journal instructions. These allow the editor to tailor their work, ensuring not only correct language and grammar but also proper formatting, citations, and layout.
1. Submit your editing request. Send your editing request via direct email to info@kmgcommunications.com.au Provide information on your editing requirements using our Guide for Submitting an Editing Request.
2. Accept our quote. Upon receiving your request, we will send you a quote. We will confirm the date you will send us your thesis for editing, including our return date. When you accept the quote, we will book you in. Note, keep us updated on your progress. If you need more time, we can usually accommodate it. Should your preferred return date be unfeasible, we will notify you and offer an alternative time frame.
3. Send us your work. Send us your document via email, as an attachment. We work with Microsoft Word files using the Track Changes tool, including Comments made in the margin. For large documents, you may send us a link to the document via a shared drive (e.g., Google docs). We will scan the document and check the conditions of the quote still apply. If the word count has significantly changed, we will advise you and re-adjust the quote. At this stage, we may also flag any formatting concerns and confirm your expectations regarding document style. If you have not already provided one, we will ask for your institution’s style guide.
4. Pay upfront half of the agreed price. We begin editing when we receive 50% payment in advance. Method of payment is via bank transfer into our Commonwealth Bank of Australia business bank account. We will provide you with our bank details at the time.
5. Return of your document. On completion of editing, you will receive via email (a) a track-changed version of the document with all edits clearly marked up as track changes in the body of the text and comments made in the margin and (b) a clean version of the document with all changes integrated (i.e., track changes no longer visible in the document); however, we leave comments intact, as these usually refer to aspects of the text that still require your attention.
6. Post-editing support. We are committed to providing you with the support you need to finalise your document all the way through to submission. Our service/pricing includes at no extra cost an additional round of editing, targeting discrete sections which you may have decided to revise since submitting your document to us for editing (e.g., your supervisor may make last-minute suggestions). Note, this does not include a review of the entire document. Following final edits, we will work with you to finish off any formatting in line with the original formatting requirements (e.g., update the table of contents, ensure no headings are left at the bottom of pages, etc.).
7. Finalise your payment. Once your document has been finalised (as above), we will send you an invoice for payment of the 50% balance. If you are experiencing hardship, we are happy to discuss a payment plan. Reach out to discuss.
If you are submitting a thesis, we recommend allowing at least 2-3 weeks between receiving the thesis from your editor and your submission date. This will allow you time to review the edits, address any comments, and liaise with your supervisor who may make some final suggestions including further edits. We are happy to work with you to meet your deadline. If you require a tighter turnaround time, let us know. We will confirm our availability and discuss the best approach for meeting your needs.
