Is your document still work-in-progress?
Fill in the form without uploading a document - we can provide you with a quote. If you let us know when you anticipate your document being ready for editing, we can book you in. A booking will be contingent on 25% of upfront payment as security for the booking, which will be counted as part payment towards the final cost of editing. This will help reserve a place for your editing request during periods of high demand.
Not sure whether your writing requires editing or proofreading?
We recommend reading our article on the difference between editing and proofreading - this might help you reach a decision. If you're still not sure, request a brief review of your document for tailored advice.

1. Submit your editing request. Send your editing request via the submission form below or by direct email to info@kmgcommunications.com.au Be sure to include information on your editing requirements.
2. Accept our quote. Upon receiving your request, we will send you a tentative quote. We will confirm the date you plan to send us your thesis for editing, including our expected return date. Should your preferred return date be unfeasible, we will notify you and offer an alternative time frame. When you accept the quote, we will book you in. Note, keep us updated on your progress. If you need more time, we can usually accommodate it.
3. Send us your work. Send us your document via the Document Submission Form below or as an attachment via direct email to info@kmgcommunications.com.au. We work with Microsoft Word files using the Track Changes tool, including Comments made in the margin. For large documents, you may send us a link to the document via a shared drive (e.g., Google docs). We will scan the document and check the conditions of the quote still apply. If the document demands a significant level of editing more than was originally indicated or the word count has significantly changed, we will advise you and re-adjust the quote. We may suggest setting up time for a call (via mobile, Zoom, Google Meet or similar) to discuss your needs, answer your questions, and establish expectations with respect to the editing process and outcomes. At this stage, we may also flag any formatting concerns and confirm your document style requirements. If you have not already provided one, we will ask for your institution’s style guide.
4. Pay upfront half of the agreed price. After finalising any remaining issues and agreeing on the quote, we will begin editing when we receive 50% payment in advance. Method of payment is via bank transfer into our Commonwealth Bank of Australia business bank account. We will provide you with our bank details at the time.
5. Return of your document. Editing and proofreading mark-ups are all made using Microsoft Word's Track Changes function. On completion of editing, you will receive via email (a) a track-changed version of the document with all edits clearly marked up as track changes in the body of the text and comments in the margin (so you can review the changes) and (b) a clean version of the document with all changes integrated (i.e., track changes no longer visible in the document); however, we leave comments intact, as these usually refer to aspects of the text that still require your attention. We will address any questions you may have about the editing and comments on your document - we can do this via email or set up time for a call.
6. Finalise your payment. Once your document has been finalised (as above), we will send you an invoice for payment of the 50% balance. If you are experiencing hardship, we are happy to discuss a payment plan. Reach out to discuss.
7. Post-editing support. We are committed to providing you with the support you need to finalise your document for submission. Our service/pricing includes at no extra cost at least ONE additional round of editing, targeting discrete sections (limited to no more than 10% of the total document) which you may have decided to revise since submitting your document to us for editing (e.g., if preparing a thesis, your supervisor may make some last-minute suggestions). Note, this does not include a review of the entire document or attending to further formatting requests. Following final edits, we can assist you with updating the table of contents (which will include undertaking a scan to ensure no headings are left at the bottom of pages). At this stage, if you require additional editing and/or formatting requirements, we are happy to negotiate the time and cost of such.
KMG Communications offers competitive, transparent pricing and provides obligation-free quotes for all editing and proofreading projects.
If you’re unsure which level of editing you need, we are happy to review your document and advise on the most appropriate service. This helps ensure you receive the right support and a realistic estimate of cost.
How editing fees are determined
Every project is different. Editing fees are based on a combination of factors, including:
Medical and academic editing often requires specialist subject knowledge, particularly when working with technical terminology, clinical content, or regulatory documentation. This is reflected in project-based pricing.
Indicative rates
Copyediting is the most commonly requested service. To help set general expectations, KMG Communications provides indicative copyediting rates based on word count. These rates are a guide only and may vary depending on the factors outlined above. Final pricing is always confirmed before work begins.
Copyediting rates (indicative)

Reference lists and word count: Where reference lists are included in the editing scope, they must be included in the total word count. If you prefer references not to be edited, they can be excluded — simply let us know when requesting a quote.
Industry benchmarks: The Institute of Professional Editors (IPEd) publishes general guidance on editorial pay rates, including indicative costs for academic editing. These benchmarks help contextualise professional editing fees albeit do not replace project-specific quotes.
Not sure what you need? If you’re unsure whether your document requires editing or proofreading, we recommend reading Editing vs proofreading — and why formatting matters or requesting a brief review of your document for tailored advice.
Q. What types of documents do you edit and proofread?
A: We work with a wide range of medical and health-related documents, including academic essays and theses, journal manuscripts, clinical guidelines and monographs, and reports. We also edit documents from other academic disciplines and business and government settings (including policy proposals, executive briefings, annual reports, etc.).
Q. How is editing different from proofreading?
A: Editing improves clarity, tone, structure, and flow, including rewording or reorganising text, while proofreading focuses on final surface-level corrections such as grammar, spelling, punctuation, and formatting. For further detail, we recommend reading: Editing vs proofreading — and why formatting matters
Q. Can you handle documents from non-native English speakers?
A: Yes. We have extensive experience supporting authors for whom English is an additional language, refining clarity and expression without changing meaning.
Q. Do you follow specific style or journal guidelines?
A: Yes. We align documents with relevant style guides (such as AMA or APA) and journal or institutional requirements to ensure consistency in terminology, citations, and formatting.
Q. Will you check references and citations?
A: Yes. We ensure in-text citations match the reference list and that references are formatted according to the required style.
Q. Can you help with formatting tables and figures?
A: Yes. Formatting support for tables and figures is available on request. Please outline your requirements when requesting a quote, as additional charges may apply.
Q. How quickly can I get my document edited?
A: Turnaround times vary depending on document length, complexity, and level of editing required. We will confirm timelines when providing your quote. Rest assured, we can often accommodate urgent deadlines.
Q. Do you offer sample edits?
A: Yes. If you’re unsure whether editing or proofreading is the right service for your project, we can provide a sample review to help you decide.
Q. How do I submit my document for editing?
A: We recommend submitting your document via our Website Editing Request form, which will also prompt you to provide us with the necessary information to generate a realistic quote. If you prefer, we can accommodate alternative methods for receiving documents, including via email or Dropbox. Simply advise your preference.
Q. What formats do you work with?
A: We primarily work in Microsoft Word using Track Changes, but other formats can be discussed if required.
Q. Can you help with English usage for Australian audiences?
A: Yes. We can adapt spelling, terminology, and tone to Australian, British or American English conventions, depending on your audience and submission requirements.
Q. Are there extra fees for major structural editing?
A: Yes. Services beyond basic editing and proofreading, such as restructuring, rewriting, or detailed formatting, may incur additional fees. These will be clearly outlined in your quote. Note, with respect to editing academic and/or research theses of university students, editors may provide copyediting and proofreading, but they must not alter the intellectual content or structure of the thesis
Q. How do you price your services?
A: Pricing is based on document length and the level of editing required. We provide personalised, obligation-free quotes before commencing work. Refer to our indicative copyediting rates as a guide.
